Purchase Orders

Use Purchase Orders to record stock you're buying in from a supplier, track what's been paid, and pull received items straight into your live inventory.

Creating an order

  1. Pick or type a supplier name (existing suppliers autocomplete).
  2. Add line items — product, quantity, unit cost, and optional per-item discount.
  3. Add order-level tax, discount, and shipping if applicable.
  4. Record any advance payment — the order is marked unpaid, partial, or paid based on what's been paid against the total.

Receiving stock

A purchase order can be received in stages — you don't have to receive every item at once. When you receive items:

  • Any category typed that doesn't already exist gets created automatically.
  • Items received in boxes/cartons convert to individual pieces in stock (using the pack size you set).
  • Received items land directly in your product catalog, ready to sell.

An order's status moves from pending → partial → received as items come in.

Editing & deleting

Orders can be edited (quantities, payment, notes) or deleted before they're fully processed. Branch Managers can be granted full Purchase Order access (create, edit, receive, delete) the same as the shop owner, if the owner turns this module on for them — see Staff & Permissions.
